CATERING:

- Budget quoted by Hotel for US 1,350 : 60 pax was agreed as follows: - Drinks: red wine, White  wine, sodas, mineral water - Finger Food for 60 people o Jam and cheese sandwiches o Chicken and tomato sandwiches o Salami and cheese sandwiches o Vegetarian sandwiches

ENTERTEIMENT

- We will have  the same room  as 2013. - There will be 4 dancers. Costs: 666 US $ to be paid in Argentinean pesos. Dancers will provide a receipt to ICANN and will be paid in Argentina - Dancers will be at the hotel 1 hour before the performance. - They will bring an USB drive with music to be connected to the venue’s sound system - Dancers need a changing room or area - Dancers will do a dancing class. First volunteer to take the class: Fadi Chehade, second : Heidi Ullrich, third Susie Johnson and next  Silvia Vivanco and others. - Dancers will do a group photo with attendees. - Alberto to send to staff  a picture of the dancers and relevant details to add this to the Showcase website.

SOUVENIRS

- Alberto has  some options: wooden handicraft, or traditional Argentinean mate cup. 100 items - He will send cost and if possible a picture to Susie and cc staff. If Alberto needs  to pay an advance  payment he  will do so and bring receipt to be reimbursed. - Alberto will let us know if any item requires an ICANN or At Large LOGO printed on the item as this will require approval from ICANN legal. - If business ccards are to be put on the item, Susie will bring At Large business cards  to BA.

 

Action Items:

  •  Susie Johnson  to update  the Budget   Excell spreadsheet  with Alberto’s input (quote for souvenirs and dancers).
  • ramon.soto to confirm the Google contribution of 500$ ASAP to staff so that this amount can be considered in  the budget available. - 
  • Gisella Gruber  to coordinate  details regarding dancing performance and specific  requirements with Alberto and meetings team
  • Silvia Vivanco to work with Alberto to finalize the Program and send the VIP invites. - Next  Showcase  Organizing  committee call on Monday 18th. 22 UTC.
  • Gisella Gruber to do  a Showcase script with details down to the minute.
