Booking Travel Introduction

Welcome to your new streamlined ICANN travel booking experience! This manual will guide you through the steps to book your travel for an ICANN meeting.

Step 1: Log In to the ICANN Travel Support Portal

Begin by logging into the ICANN Travel Support Portal using your email through ICANN Accounts. If this is your first login, you'll need to complete the On-Boarding Process, which includes providing your personal details and banking information. Once completed, you'll receive an email confirming your Office of Foreign Assets Control (OFAC) clearance, allowing you to proceed with booking.

Step 2: Receive Travel Confirmation Email

After your On-Boarding is confirmed, you will receive a Travel Confirmation Email. Log into the ICANN Travel Support Portal, select the meeting you’re funded for, and click on ‘Book Your Flight.’ This will redirect you to AmTrav.

Step 3: Booking Travel

Click on “Flights and Rail” and select your itinerary.

Enter your destination, travel dates, and preferences, then click on Search. For efficiency, select the most direct or non-stop route.

Review the search results and choose an itinerary that suits your schedule and complies with ICANN Community Travel Support Guidelines.

Select Your Flight: Ensure the selected flight aligns with your travel plans.

Review and Reserve Your Flight: Double-check the flight details for accuracy. Include all necessary details as provided in your Travel Funding Confirmation Email or the ICANN Travel Support Portal, such as project ID, department number, and traveler type.

Step 4: Submit for Approval

Once your itinerary is selected, click the ‘Book Your Flight’ button to send the request to ICANN Travel Support for approval—no follow up emails needed!

Step 5: Wait for Booking Approval

Requests are reviewed and ticketed during normal business hours (Monday - Friday). Should any changes be necessary, ICANN Travel Support will contact you before finalizing the booking.

Step 6: Confirmation

Upon approval, you will receive your full itinerary and booking details via email and can be viewed on the AmTrav booking tool.
