ICANN will book hotels only for the approved travel dates for ICANN meetings. If funded travelers want to stay longer, they will need to pay for the additional days themselves. Once the funded traveler receives the hotel confirmation, they may directly contact the hotel to request extra days. However, the availability of additional days and ICANN rates is not guaranteed, and any extra costs will be the responsibility of the funded traveler. Any additional hotel requests such as double occupancy or amenities can be made directly with the hotel after receiving the hotel confirmation email from ICANN.

For travelers arriving between midnight and 7 am (local time), ICANN will request early check-in during the approved travel dates. If arriving after 7 am (local time), travelers may request early check-in directly with the hotel. Late check-out can also be arranged directly with the hotel, but it will be at the expense of the traveler. Please note that early/late check-in/out requests are subject to hotel availability and are not guaranteed.

ICANN HOTEL RATES

ICANN rates are guaranteed for the ICANN Meeting dates only and based on availability. ICANN rates outside of the meeting dates are based on hotel’s availability.

Travel Deadline

Last day for funded traveler substitutions and cancelation (45 Days Before the Meeting): Wednesday, 22 January 2025

Last day to book air travel, otherwise full travel funding cancelation (30 Days Before the Meeting): Thursday, 06 February 2025

WHAT DO I NEED TO TRAVEL TO UNITED STATES OF AMERICA?

Below are requirements for entering United States of America:

A valid passport is mandatory to enter United States of America

 At least one blank page in your passport for endorsements

 A valid visa (if required)

 Sufficient funds to pay for your day-to-day expenses during your stay

 A return or onward air ticket

UNITED STATES OF AMERICA VISA APPLICATION GUIDE

Per diems and stipends are intended to cover any transportation expense, including rideshare (Uber, Lyft, Grab, Ola, etc.), taxis, and public transportation to travel between the airport, hotel, and supported traveler’s main domicile (home).

WIRE TRANSFER DISTRIBUTION SCHEDULE

If you are eligible to receive a per diem or stipend, below is the wire transfer distribution schedule. In order for us to send the funds during the proper batch dates, you must meet all of the criteria below:

• PROVIDE banking information to ICANN Org.
• HAVE a valid ICANN Vendor ID
• PROVIDE proof that visa has been received (if applicable)
• COMPLETE Air Travel Reservation (if applicable)

If not, your distribution date will be completed on the next available per diem batch schedule below.

PER DIEM CHECK-LIST

•  HAVE a valid ICANN Vendor ID (submit completed Travel Vendor Set-Up Form and W-8BEN/W-9 Form)
